Frequently asked questions

What types of services do you oversee for HOAs?

image

We oversee your exterior vendor contracts—such as landscaping, pool and tennis court maintenance, pest control, pressure washing, signage, roofing, gutter cleaning, asphalt repairs, speed bump striping, and concrete restoration. Our role isn’t to perform the work—we’re here to ensure it’s done correctly, on time, and in compliance with your community’s standards.

How do you schedule ongoing vendor audits?

For seasonal or recurring services like landscaping, pools, or pest control, we set inspection schedules aligned with vendor frequencies. That could mean monthly landscape checks, quarterly pest assessments, weekly pool compliance visits—or whatever fits your needs. Our oversight is tailored to ensure each service gets the right level of attention at the right time.

How do we request your oversight or report an issue?

image

Simply fill out our intake form or give us a call. We’ll review your current vendor setup, discuss your community’s needs, and deliver a custom proposal that outlines the oversight frequency, reporting details, and associated costs.

How can we be sure your oversight adds genuine value?

Each inspection includes documented photos, notes, and quality ratings. We flag discrepancies, verify completion, and escalate issues as needed. When vendors fall short, we recommend trusted alternatives and manage any necessary transitions. Our construction and development background means we spot issues others miss—saving communities money and frustration.

How does Preventative Maintenance Oversight work?

image

Preventative Maintenance Oversight covers one-off or intermittent projects like gutter cleanings, roof inspections, striping, and asphalt patching. We guide the HOA through vendor selection, inspect progress during the job, verify quality upon completion, and deliver a detailed report. We also offer a reserve and maintenance audit—around 15–30 pages with photos, timelines, and vendor recommendations—to support long-term planning.

What is included in your reporting and communication?

Boards receive scheduled written reports (weekly, monthly, or quarterly) with clear status updates: what was inspected, what was completed, any deficiencies, corrective actions taken, and recommended next steps. We can also join board or committee meetings if needed.
